Medical Secretary – North Cumbria Integrated Care NHS Foundation Trust (Visa Sponsored)

We are looking for a competent and professional Medical Secretary to be based at the Cumberland Infirmary. This is a full-time position working 37.5 hours per week, Monday – Friday. This is a permanent position. This is an exciting opportunity to join the Specialist Surgical Collaborative Administration Team, the service aims to provide a high quality, locally delivered, patient focussed service. This role will be crucial to the efficient day to day delivery of the service.

Roles & Responsibilities

  • Provide a complete secretarial service including word processing, filing, audio typing, photocopying and the composition of letters. Prepare responses and requests for the consultants and designated medical staff as appropriate.
  • Type clinics, discharge summaries and other internal and external correspondence. Compose letters as required, ensuring outgoing correspondence is correct.
  • Provide first point of contact for patients, relatives, GPs, hospital staff and other professional bodies for written and telephone enquiries on behalf of the consultants and their team. Establish validity and priority of the contact, reducing the consultants / team’s administrative workload where possible.
  • Open and action consultant’s correspondence and respond accordingly.
  • Keep the consultant’s diary and arrange appointments and meetings, co-ordinating non-clinical meetings to fit in with clinical commitments.
  • Manage telephone enquiries and enquiries in a calm and easily understood manner, being as informative, sympathetic and reassuring as possible.
  • Manage and prioritise workload. Set out priorities without direct supervision whilst working to deadlines.
  • Manage the consultant’s waiting list and undertake all support work, being aware of specified time frames, patient requirements and patient requests.
  • Ensure patients are selected in order of priority and according to Trust policy.

Eligibility Requirements

Qualifications

Essential

  • GCSE English language (minimum grade C) or equivalent
  • RSA 3 typewriting / word processing, or NVQ3 business administration, or equivalent

Desirable

  • Medical secretarial diploma or equivalent

Knowledge & Experience

Essential

  • Medical secretarial duties
  • Medical audio typing.
  • Medical word processing.Operating word processing and computer packages.
  • Computer literate
  • Microsoft OfficePAS
  • Understanding of the requirements of the Data Protection Act, Freedom of Information Act, access to health records and defensible documentation, health and safety legislation, and their application in the workplace.
  • Equality issues.

Skills and Aptitudes

Essential

  • Effective communication and interpersonal skills
  • Able to analyse complex facts or situations
  • Able to use initiative appropriately within team environment
  • Able to work without supervision
  • Ability to organise and prioritise workload to meet deadlines.
